Site reporting

Plant Fault, Damage & Theft Reporting

Report plant faults, damage and theft from site, keep reports against the right asset and contract, and track what happens next.

The problem

Phone calls leave plant problems difficult to follow

A machine breaks down and the site rings whoever answers. The message gets passed on, half-remembered, and three days later the fitter arrives for the wrong machine. Damage found at handover starts an argument nobody can settle, because nobody wrote anything down at the time. And when plant is stolen, the insurer wants to know exactly when, and from where, and there's no good answer.

None of this is carelessness. It's what happens when reporting a problem is harder than shouting about it.

How Equipbase helps

Reports from site, against the right plant, with a status

Equipbase lets site teams report a fault, damage or theft against the exact item of plant on their contract, hired or owned. The report carries the contract, date, details and status so the follow-up can be tracked.

For owned plant, recording a theft stops the asset's contract cost from the theft date and prevents the stolen quantity being returned or moved. A later depot-only recovery restores availability without restarting that contract cost.

Capabilities

What you can do with fault, damage and theft reporting

Fault reporting from site

Breakdowns reported against the right machine with the details the fitter actually needs.

Damage reports

Damage recorded when it's found, against the asset and contract, with the evidence attached.

Theft reporting

Record the theft date, quantity and details to support follow-up with insurers and the police.

Theft recovery

Recovered plant is recorded back at the depot, restoring availability without rewriting history.

Contract attribution

Reports tie to the contract they were raised on. Access is controlled through user roles and the current access configuration.

History with the plant record

Keep reports with the relevant hired order item or owned asset for later operational review.

FAQ

Frequently asked questions

Can reports be raised against hired plant too?

Yes. Faults, damage and theft can be reported against hired plant on an order as well as your own assets, so the supplier conversation starts from a record.

What happens to costs when plant is stolen?

For owned plant, the asset stops costing its contract from the theft date. If it is later recovered, the depot-only recovery restores availability, but the contract cost does not restart and the theft remains in its history.

Can other sites see a contract's reports?

Access depends on the user's role and current configuration. Ask us to demonstrate the access model for your intended site and office users.

Do reports link to servicing?

They complement it: servicing and certification tracking covers planned work. For owned plant, both records are held against the relevant asset.
