Owned plant

Owned Plant Management Software

Track owned plant, availability, servicing, documents, transfers, faults and costs across contracts and depots, in the same system as your hired plant.

The problem

Owned plant delivers more value when you know where it is

Buying plant is intended to reduce reliance on hire. But without a central register, teams can struggle to answer the basics: what do we own, where is it, is it available, is it in ticket, and what is it costing the contract it's working on? The answers may be split across a yard diary, servicing records and a spreadsheet.

That makes it easier to hire in while suitable owned plant sits idle, miss upcoming certification dates and understate owned-plant usage in contract costs.

How Equipbase helps

A current register of what you own, where it is and what it costs

Equipbase gives you an owned plant register where every asset has a home depot, a recorded current location, availability, service history, documents and a cost rate. Allocations to contracts are date-aware, giving teams a conservative view of what is available for the dates requested.

Because owned plant sits alongside hired plant, each contract can show what is hired, what is owned, what each is costing, and where available owned plant could be considered before reaching for the hire desk.

FAQ

Frequently asked questions

Does availability account for plant that's already promised?

Yes. Availability is calculated for the dates you ask about, taking in current allocations, pending and approved movements, and maintenance. It is deliberately conservative to reduce the risk of over-allocation.

What happens when owned plant is stolen?

Theft is recorded against the asset with its date, which stops its cost to the contract and removes it from what a site can return or move. If it's recovered later, the recovery is recorded and the asset becomes available again from the depot.

Can we charge contracts for using our own plant?

Yes. Assets carry internal rates, so time on a contract becomes a cost to that contract, and can feed client recharges and invoicing where the client should carry it.

Do transfers between contracts need approval?

They can. Movements can run through an approval workflow, and approvals re-check availability at the point of approval, so two people can't both be given the last machine.
